Local Property Support
When You Cannot Be There Yourself
A property may need to be accessed, photographed, checked or attended at a time when you or your team cannot be there.
You may be managing the property from another area, covering several appointments, coordinating a contractor or simply need an independent record of what occurred during a visit.
Grillo Realty Services provides practical local attendance support. We attend to an agreed brief, record visible information and report the outcome clearly—without presenting the visit as a survey, technical inspection or property-management service.

Agreed to Your Visit Brief
What GRS Can Attend and Record
Depending on the purpose of the appointment, a visit can include:
- Access Confirmation: Recording whether access was obtained, how access was provided and whether the appointment proceeded as expected.
- Photographs and Video: Capturing agreed photographs or video of visible areas, items or conditions specified in the visit brief.
- Visible Property Condition: Recording visible condition, damage, deterioration or other exceptions without diagnosing the cause or recommending remedial work.
- Meter Readings: Recording and photographing visible meter readings where the meter is accessible and can be approached safely.
- Contractor Attendance: Confirming whether a contractor attended, recording arrival or departure information where requested and capturing agreed photographs.
- Client-Supplied Checklists: Recording whether visible items appear present or complete against a checklist supplied by the client, without approving workmanship or technical compliance.
- Failed Access or Aborted Visits: Documenting attendance where access could not be obtained or an appointment could not proceed, including supporting photographs where appropriate.
- Key Collection and Return: Collecting, holding temporarily and returning keys where this has been agreed as part of the booked appointment.
Clear Visit Outcomes
A Factual Record of the Appointment
After the visit, the client can receive an agreed combination of:
- confirmation of the attendance date and time;
- confirmation of whether access was obtained;
- photographs or video captured to the agreed brief;
- visible meter readings where requested and accessible;
- factual notes on what was observed;
- confirmation of whether an expected person or contractor attended;
- details of any access problem or material exception;
- a record of an aborted or no-access visit.
The required output and reporting timeframe are agreed before the appointment is confirmed.
Where a material issue prevents the visit proceeding, GRS will contact the nominated client representative as soon as reasonably practical.

Key collection, temporary custody and return can be arranged where it is linked to a confirmed appointment. The collection point, timing, return arrangements and any additional charge must be agreed in advance.
Can you attend an occupied property?

GRS can photograph visible work and record whether items on a client-supplied checklist appear present or complete. We do not approve workmanship or confirm that work meets technical, contractual or regulatory standards.
How quickly will I receive the visit record?
The reporting timeframe is agreed before booking and depends on the visit requirements. Where access fails or another material issue prevents the appointment proceeding, GRS will notify the nominated contact as soon as reasonably practical.
